Deleting data and leaving Lantern

How deletion and erasure requests work, the 30-day recovery window, getting your reports out before you leave, and what withdrawing consent erases.

This article covers what happens when you delete something in Lantern, how a school asks for data to be erased, and what to do before your school stops using Lantern.

Deleting things yourself

  • A draft report: in the editor, choose Delete draft. It's removed from your reports and the class list. Signed-off reports can't be deleted this way.
  • A class: on the class page, open Class actions and choose Delete class. Reports already written for it stay. To put a class away without deleting it, choose Archive class instead.
  • A student: choose Remove beside them on the class page.
  • A voice: in Writing profile, choose Delete on the voice.

The 30-day recovery window

When data is deleted in Lantern, or a school asks for it to be erased, it's removed from use straight away and permanently deleted from Lantern's main stores after 30 days. Until then it can be recovered if the deletion was a mistake: contact us quickly. Some information may stay in secure backups for a limited time before it's permanently deleted.

Asking for data to be erased

To ask for a student's or a teacher's information to be erased, or corrected, contact us. Requests about student information usually come through the school, because Lantern holds it on the school's behalf. Tell us the school, what should be erased, and why. Privacy questions can also go to privacy@embereducation.com.au.

Withdrawing consent

School admins record the school's consent in School admin, on the Consent tab. Withdrawing a consent record erases every student it covers: their information is removed straight away and permanently deleted within 30 days. This can't be undone.

If a consent record was made by mistake, such as the wrong class or a test record, use Correct this record instead. It changes the record only and erases nothing.

Before your school leaves Lantern

Your school stays responsible for keeping official student records and final reports. Before you leave:

  1. Make sure the reports you need are finalised.
  2. Download them: on the Reports page, choose Export all, pick a class or everything, and download a zip. See Find, copy and download your reports.
  3. Contact us to arrange your school's departure. We'll give you a chance to get your data out before it's deleted.

Leaving Lantern is arranged with Ember, not from a button in the app.

  • Find, copy and download your reports

Find past reports on the Reports page, copy a finalised report into your reporting system, or download PDF, Word or plain text, or a zip of a whole class.

  • Where your data is stored and how it's protected

Data is hosted in AWS Sydney with disaster recovery in Melbourne, encrypted, scoped to your school and recorded in an audit trail; outside your school, only Ember staff who need to can see reports, and students and parents have no accounts.

  • Add staff and change roles

How teachers join, how admins give the Teacher, Reviewer or Admin role, and how to remove someone who has left.
